TICKETING TERMS & CONDITIONS OF SALE AND ENTRY
1.0 DEFINITIONS
“Caravan Park” means Jondaryan Woolshed Caravan Park operated by Toowoomba Regional Council.
‘Event” means 19th National NHMA Rally incorporating Steaming Under the Southern Cross.
“NHMA” means National Historical Machinery Association Inc
“SUSCI” means Steaming Under the Southern Cross Inc and are the Event Organisers.
“Tickets” means any form of official admission pass issued by SUSCI including official receipt, QR code or wristband.
2.0 TERMS & CONDITIONS OF SALE – GENERAL
2.1 By purchasing a ticket and/or attending the Event you agree to be bound by these terms and conditions.
2.2 These Terms and Conditions relate both to the sale of tickets and attendance at the Event and apply to both the original purchaser and any subsequent Ticketholders.
2.3 SUSCI may update these Terms and Conditions at any time in accordance with Australian Consumer Law. Any variations will only apply to ticket purchases made after these Terms and Conditions have been updated
3.0 REFUNDS AND EXCHANGES
3.1 Event Organisers will not refund, provide an exchange or replace any tickets where:

The Ticketholder chooses not to attend the event.

The ticket is stolen or lost.

The ticket has been duplicated.

The Ticketholder has been refused entry or evicted from the grounds in any of the circumstances outlined in these Terms and Conditions.

The Event does not meet his or her expectations.

The incorrect ticket type has been purchased.

Should unforeseen circumstances or factors beyond SUSCI’s control cause disruption or abandonment of the remainder of the Event.

Should you choose not to attend on the occasion of inclement weather – this is an all-weather event
3.2 SUSCI does not offer refunds to requests made after the Event has taken place.
3.3 In addition SUSCI does not offer refunds to Ticketholders if they:
3.4 On the occasion of unforeseen and safety-threatening circumstances, prior to the start of the Event, SUSCI reserves the right to cancel or postpone the Event, with a refund of the amount of the ticket less administration costs. Under these circumstances all liability is limited to the amount for which the ticket was purchased (less administration costs).
3.5 If the Event is cancelled, rescheduled or significantly relocated and Ticketholders are no longer able to attend, they must request a refund by the cut-off date advertised by the Event Organiser when the postponement is announced. Proof of purchase may be required for any refund. If a refund request is made after the cut-off date, Ticketholders may not be entitled to a refund as it will be considered a change of mind.
3.6 If the Event is cancelled, rescheduled or significantly relocated, the Event Organiser will use best endeavours to notify Ticketholders via it’s website, email and social media.
3.7 Unless required by law (including the Australian Consumer Law), the Event Organiser will not be liable for any other losses incurred by Ticketholders as a result of the cancellation, rescheduling or relocation of the Event, including any travel and accommodation expenses
3.8 Refunds will be processed to the credit card originally used for the purchase.
3.9 You may give your tickets to someone else and change the name on the ticket (via our website) or you may be able to resell your tickets via our website.
3.10 If a Ticketholder is removed from the Event and/or denied entry to the Event, they will not be entitled to any ticket refund in part or in full and/or any compensation, unless required by law.
3.11 The Event Organiser reserves the right to change the Event Program without prior notification. In the event of a change, refunds will not be available.
4.0 ENTRY
4.1 The Event Precinct and Caravan Park are owned and managed by Toowoomba Regional Council.
4.2 Event Organisers reserve the right to refuse entry to any person who:

Cannot produce a valid ticket.

Produces a ticket that has been purchased or obtained through an unauthorised source or through illegal means or has been duplicated.

Is in possession of and refuses to surrender any prohibited or illegal object.
4.3 The Event Organisers and the NHMA may record the Event and by attending the Event, Ticketholders consent to being filmed and photographed during the Event. Footage or images may be reproduced, published and exploited by the Event Organiser and NHMA without restriction including but not limited to marketing and promotional use and in all media.
4.4 The Event Organiser reserves the right to refuse admission or to eject a Ticketholder for intoxication, aggressive, or anti-social behaviour, and for behaviour likely to cause damage, injury, nuisance, annoyance or for failure to comply with reasonable requests. Those ejected from the Event will not be re-admitted and tickets will not be refunded.
4.5 Whilst attending the event patrons must not:

Light or cause to be lit any unauthorised fires outside of the assigned areas.

Cause damage to, improperly use, or tamper with any public facility or Event infrastructure.

Exit the Event Precinct/Caravan Park via routes other than the designated exits and emergency exits.

Litter in the Event Precinct/Caravan Park or surrounding area. All rubbish is to be disposed of correctly in facilities provided.

Aircraft & Drones – due to being next to an airport NO unauthorised aircraft or drones/Unmanned Aerial Vehicle (UAV) are to be used at the Event Precinct/Caravan Park or surrounding areas.
4.6 SUSCI, Toowoomba Regional Council, it’s Caravan Park Caretakers and/or security have the right to remove any person, vehicle or camp site which in its opinion contravenes any rights, laws or directions given to Ticketholders and visitors.
4.7 Smoking (including the use of electronic cigarettes or similar devices that are designed to simulate smoking) is prohibited within at the Event Precinct unless at the designated areas. Persons who fail to obey a direction from the Event Organiser or another authorised person to cease smoking in the Event Precinct will be removed from the Event.
4.8 Ticketholders who are, in the opinion of the Event Organiser, offensively attired or whose attire may cause a hazard or compromise safety may be refused entry from the Event or alternately have restricted access to the Event Precinct.
4.9 Persons under the age of 16 must be always under the direct supervision of an adult. The Event Organiser reserves the right to refuse entry to, or to remove from, the Event or to refer to the Police any persons under the age of 16 who are without adult supervision.
5.0 ACCOMMODATION AND CAMPING
5.1 Accommodation and camping bookings for Exhibitors are managed by SUSCI on behalf of Toowoomba Regional Council. Ticketholders who have booked accommodation/camping in the Caravan Park agree to abide by the terms and conditions of the Caravan Park.
5.2 Camping is sold per site.
No patrons are permitted to set up camp prior to 16 August 2025. Sites are to be vacated by 7 September 2025.
Everything; including your van (including slideouts) or tents etc…, ropes, pegs etc…and vehicle must fit onto your campsite.
1 vehicle only per site. Extra vehicles are to be parked in the designated areas.
Campfires are NOT permitted in the camping areas. No naked flames or fires allowed for safety reasons. Only Event approved areas are allowed to have fires. You can use heat beads in an enclosed device (such as an OzPig and the likes) while you are at the campsite.
Generators are allowed – but please don’t be THAT person who has all of your neighbours complaining…it makes the event organisers very cranky, and you will be asked to turn it off or may be asked to leave the grounds! GENERATOR HOURS ARE between 8 am to 9 pm only.
We recommend that you arrive to our Event with your water tanks full?????.
No trading outside of the Event Precinct. If you haven’t paid a stall site fee you are not permitted to sell goods.
Porta potties are to be emptied at the dump point on the grounds near the Caretaker’s Residence. Do not empty into toilets in the Event Precinct nor the Caravan Park.
Patrons on powered sites at the Caravan Park will need to provide their own extension cord (up to 30 meters in length, depending on site position) to plug into designated powerboards. All extension cords should be in good condition for everyone’s safety.
Toowoomba Regional Council cannot guarantee a consistent uninterrupted supply of electricity to your site: therefore, we do not recommend that participants rely on the Toowoomba Regional Council power supply for the running of any medical related equipment.
6.0 PETS
6.1 Well behaved pets are welcome at the Event and in the Caravan Park and Event Precinct.
6.2 Owners are responsible for cleaning up any “mess” deposited by their pet. This means YOU need to clean up after your pooch!
6.3 Pets are prohibited from food areas – this includes while lining up for food or where food is consumed.
6.4 All pets must be on a lead when in public places and campgrounds. Please remember that not everyone loves your pet as much as you, so keep yours under control at all times.
6.5 Never leave pets at camp alone if they are going to annoy your neighbours.
6.6 A guide, hearing or assistance dog is not a pet, but a highly trained working animal, and the Act provides accompanied handlers the right of access to public places, public passenger vehicles and places of accommodation. These dogs will clearly display an approved guide, hearing and assistance dog badge.
7.0 ALCOHOL
7.1 A bar will open daily and a designated drinking area will be available, no alcohol is to be taken out of that area.
7.2 BYO alcohol will NOT be permitted within the Event Precinct.
7.3 Any person found involved in underage drinking or caught with BYO alcohol within the Event Precinct will have their wristband removed/QR code forfeited and be evicted from the Event Precinct and Caravan Park.
7.4 Ticketholders who wish to consume alcohol and anyone found supplying minors with alcohol will be referred to Police and be evicted from the Event and the Caravan Park.
8.0 FIRE PREVENTION & SAFETY
8.1 No naked flames or fires allowed for safety reasons. Only approved areas located in the Caravan Park are allowed to have fires. You can use heat beads in an enclosed device (such as an OzPig and the likes) while you are at the campsite.
8.2 In the event of fire always RING 000 and notify the Caravan Park Caretakers on 0461 468 251.
8.3 As a fire safety measure could you please leave a full bucket of water near the front passenger side wheel of your vehicle for the duration of your stay.
8.4 First aid will be onsite over the Event weekend, but they may not be onsite for the entire duration of your stay.
9.0 VEHICLE ENTRY, EXIT AND RE-ENTRY
9.1 Signs will be placed directly vehcilar entrance to the site. Entry to the Caravan Park is via Gate #2.
9.2 Movement of vehicles and service vehicles to and from the showgrounds will be restricted to those who hold camping/vehicle passes.
10 PROGRAM CHANGES
10.1 While every attempt is made to present the program as advertised, the program may be subject to change without notice. No refunds will be given due to a change in programming.
11 LIABILITY
11.1 SUSCI takes no responsibility for loss or damage to personal property. Ticketholders and visitors enter the Event Precinct and Caravan Park at their own risk and to the maximum extent permitted by the law, SUSCI, its employees/volunteers/Management Committee and all other persons involved in the organisation, sponsorship and promotion of the event accept no liability for any injury, loss, claims, costs, expenses or damage which may be suffered or incurred or which may arise directly or indirectly in respect to the supply of goods or services (including liability for negligence) and to the extent permitted by the law in the supply of a recreational service. SUSCI, its employees/volunteers/Management Committee and all other persons involved in the organisation, sponsorship and promotion of the event accept no liability for death or personal injury howsoever caused.
